How to schedule a meeting across time zones

  1. Add everyone's location. Type a city, a time zone (like PST or Eastern) or an airport code (like YVR or JFK). The first location sets the hours across the top.
  2. Pick the date. Time differences change during the year, and since Nov 1, 2026 they change differently in BC, Alberta, Manitoba and the NWT, so the date matters.
  3. Find the green hours. Those are inside everyone's workday. Change the workday if your team keeps different hours.
  4. Create the invite. Pick a time, then send it to Google Calendar or Outlook, or download an .ics file. Each person sees it in their own time zone.

Questions

What is the best time for a meeting between Vancouver and Toronto?

From November to March the gap is 2 hours, so 9 AM to 3 PM in Vancouver (11 AM to 5 PM in Toronto) works for both. From March to November the gap is 3 hours, so the overlap shrinks to 9 AM to 2 PM in Vancouver (noon to 5 PM in Toronto).

Do I need to worry about daylight saving time when booking meetings?

Yes, more than before. Since Nov 1, 2026, BC, Alberta, Manitoba and the NWT no longer change their clocks, while most of Canada and the US still do. Vancouver and Seattle, for example, are an hour apart from November to March and on the same time the rest of the year.

Why does my meeting show at the wrong time after Nov 1, 2026?

If the meeting was booked before your calendar knew about the change, it may still use the old rules. The organizer should open the meeting and save it again. Invites made here are fixed to a moment in time, so they show correctly for everyone.

How many locations can I compare?

Up to six, which covers most teams spread across North America and Europe.
